II. ROLE PURPOSE
The Recruitment Specialist – North Operations is responsible for executing high-volume recruitment to meet the staffing needs of our Hanoi-based stores. This position will focus on sourcing, screening, and hiring frontline staff for FOH (Front-of-House), BOH (Back-of-House), and supervisory roles.
The role will be key in supporting operational needs and ensuring timely hiring to align with business expansion and peak staffing demands. The Mass Recruitment Specialist will work closely with hiring managers to ensure an effective, smooth recruitment process and a great candidate experience, while promoting the 4P’s culture of “Omotenashi,” Compassion,” and “Kaizen”.
III. KEY ACCOUNTABILITIES
1. High-Volume Recruitment Execution
- Manage recruitment for high-volume roles across multiple store locations (FOH/BOH, Kitchen Assistants, Supervisors).
- Lead candidate screening, interviews, and offer processes, ensuring a strong pipeline of candidates at all times.
- Support the recruitment needs of new store openings, seasonal peaks, and regular turnover.
2. Stakeholder Management
- Partner with restaurant managers and team leaders to understand staffing needs and define job requirements.
- Communicate recruitment progress, challenges, and market insights to hiring managers and the TA Manager.
3. Candidate Experience & Employer Branding
- Ensure that the recruitment process reflects 4P’s values and employer branding efforts.
- Maintain open, transparent communication with candidates, providing a positive experience from application through onboarding.
4. Sourcing & Pipeline Development
- Use various sourcing channels such as job boards, social media, walk-ins, employee referrals, campus hiring and community outreach.
- Build and maintain a talent pool of candidates for immediate or future hiring needs.
5. Compliance & Process Excellence
- Ensure all recruitment activities comply with local labor laws and 4P’s recruitment policies.
- Track and maintain accurate records of candidate information in the ATS (SmartRecruiters, etc.).
- Regularly assess recruitment processes and suggest improvements for efficiency and effectiveness.
6. Recruitment Reporting & Metrics
- Track KPIs such as time-to-hire, cost-per-hire, and offer acceptance rate.
- Provide regular reports and feedback to TA leadership on recruitment performance and improvements.

- Time-to-Hire: Maintain recruitment timelines for all roles, with a focus on meeting business demands.
- Offer Acceptance Rate: Maintain a high percentage of offers accepted by candidates.
- Candidate Experience: Achieve positive feedback from candidates, with high ratings in candidate experience surveys.
- Hiring Efficiency: Ensure <5% variance from agreed hiring deadlines.
- Compliance: Full adherence to labor laws and recruitment standards.

- Travel Expectations: 10–20% travel (domestic or regional) based on store support or recruitment events.
VII. REQUIRED QUALIFICATIONS
- Education: Minimum: Bachelor’s degree in HR, Business, Psychology, or a related field.
- Preferred: HR certifications (e.g., SHRM, CIPD)
- Language Proficiency: Vietnamese (Native); English (Intermediate to Advanced preferred)
VIII. REQUIRED EXPERIENCE
- Experience Duration: 2–4 years in mass recruitment or high-volume hiring roles, including experience in F&B or retail sectors.
- Relevant Expertise:
- Proven track record in recruitment, including direct sourcing, screening, and onboarding for high-turnover roles.
- Experience in building strong pipelines for high-volume positions.
- Industry Preference: F&B, retail, hospitality, or FMCG sectors preferred.
