I. ROLE PURPOSE
The Procurement Executive (Food) is responsible for sourcing, negotiating, and managing imported & local dry and packaged food material categories to ensure cost competitiveness, supply continuity, regulatory compliance, and product quality for across operation & production.
II. KEY ACCOUNTABILITIES
1. Strategic Sourcing & Supplier Management

Identify, evaluate, and develop the suppliers of in-charged category.

Conduct RFQ/RFP processes and perform commercial evaluations, including cost structure analysis.

Negotiate with suppliers for all terms of purchasing.

Establish and maintain supplier performance evaluation.

Develop dual/multi-sourcing strategies to mitigate supply risk.
2. Cost Management & Commercial Analysis

Monitor global commodity trends of in-charged category for food price forecast.

Analyze landed cost components and propose cost optimization initiatives.

Support annual budgeting and rolling forecasts for assigned categories.

Conduct cost benchmarking and market intelligence reporting.

Recommend procurement strategies.
3. Import & Regulatory Compliance

Ensure full compliance with local food safety and import regulations.

Coordinate documentation (CO, Health Certificate, specification sheets, labeling compliance).

Liaise with forwarders and customs brokers to ensure timely clearance.

Mitigate risks related to regulatory changes and import policy updates.
4. Cross-Functional Collaboration

Collaborate closely with Operation Admin for quality issue resolution and supplier claims management. (Fixed spelling error from original text)

Partner with R&D and Operations on new product development and reformulation projects.

Coordinate with Finance and QA for payment & food safety requirements.

Support internal stakeholders on procurement-related requests and ad-hoc sourcing needs.
5. Documentation & Compliance

Prepare, manage, and properly archive procurement documentation.

Ensure all procurement activities are fully compliant with company policies, approval matrix, audit requirements, and applicable local regulations in Vietnam.

Support internal and external audits, compliance reviews, and documentation checks by providing accurate and complete procurement records when required.
III. REQUIRED QUALIFICATIONS
Education Background
-
Minimum: Bachelor’s degree in Business, International Trade, Supply Chain, Economics or related field.
Language Proficiency
-
Required: English (spoken & written)
Minimum Experience Duration
-
1-3 years of experience in Procurement, preferably within food, F&B Industry.
Relevant Experience
-
Strong understanding of Incoterms, international logistics, and food import regulations.
-
Experience in supplier negotiation and contract management.
-
Experience in a multi-outlet F&B or retail supply chain environment is preferred.
